If your Practice does not have an EHR integration, you may manually set Charges to a Processed status to indicate that they have been processed from HybridChart and entered in your EHR/billing software.
Setting Charges to Processed
1. Navigate to the Billing Queue by clicking Queue.
2. The Queue will automatically display Patients from all Census listings and Providers who are in the Queue.
3. There are several ways to sort/filter the list:
· Use the pop-up menu at the bottom of the Patient List to filter the list by assignment.
ALL: This selection is the default and displays all Patients in the Queue.
ASSIGNED TO ME: This selection will only display Charges that are assigned to you.
UNASSIGNED: This selection will only display unassigned Charges.
· Click SHOW FILTER at the top of the Patient List and use the CENSUS and PROVIDER drop-down menus to filter the list by a specific Census and/or Provider. Use the SORT BY drop-down menu to sort the list by Patient, Oldest-to-Newest, Newest-to-Oldest, Census, or Provider. Click APPLY CRITERIA once you’ve made your selections. These selections will be retained as long as you are logged into the same session.
4. The Patient List will display. NOTE: Each listing corresponds to a specific Date of Service, so you may see multiple listings for the same Patient. The total number of Charges for the specific Date of Service displays on the right side of the listing. Patients with a WHITE background are currently active on the Census; Patients with a MINT GREEN background have been Discharged.
5. Select the appropriate Patient from the Patient list by clicking on them and click the CHARGES tab.
6. Link the Patient if this has not been done already. For more information about this process, see HOW-TO GUIDE - Billing - Link a Patient to the EHR.
7. At the top of the Charges tab, you’ll see a Dashboard that displays the total number of Charges that exist for this Patient and what status they are in.
8. To adjust which Charges you see for the Patient, use the pop-up at the bottom of the screen to adjust the Charge list.
· Date of Service
SELECTED DATE OF SERVICE: This is the default and shows only Charges that match the Date of Service selected.
ALL DATES OF SERVICE: This selection shows all Charges for the selected Patient.
· · Status
RECEIVED + ASSIGNED: This is the default and shows Charges in RECEIVED and ASSIGNED status only.
ALL STATUSES: This shows all Charges, including those in PROCESSED status.
9. Select the Charges you want to Process.
· To select an individual Charge, click the status checkbox. This will assign the Charge to you even if it was assigned to someone else first.
· To select multiple Charges, click the SELECT ALL button at the bottom of the Charge list.
· To unselect an individual Charge, click the Status bar at the bottom of the Charge.
· To unselect all Charges, click UNSELECT ALL, located at the bottom of the Charge list.
· 10. Click QUEUE ACTIONS, then click the appropriate selection.
· PROCESS ONLY: Will process the Charge(s).
· PRINT SELECTED: Will print selected Charges for the selected Patient.
11. Once the Charge is Processed, it will disappear from the Charge list. To refresh the Patient List, click the REFRESH button, located at the bottom of the Patient List.
