All Provider accounts must have an associated License. There are two License types: Physicians (applies to Physicians and CRNAs) and Midlevels (applies to Physician Assistants and Nurse Practitioners). HybridChart offers flexible billing options for your Practice, and the Licensing system allows for paid User reconciliation and ensures that your Practice is being billed appropriately. NOTE: If your Practice has a special billing circumstance, this has been noted. Please contact support@hybridchart.com or 877-977-5544 ext. 3 with questions. 

Navigate to License Manager

1. In the Administration section, hover over Users and click on License Manager.


License Dashboard

1. The License dashboard is broken down by Physician and Midlevel, and displays the following information:

 

· ACTIVE LICENSES: The number of current licenses that are active for your Practice.

· IN USE: The number of current licenses that are currently being utilized by your Practice.

· AVAILABLE: The number of current licenses that are available for a new User account.

 

· If you have licenses in AVAILABLE status, you may simply add the User account.

· If you do NOT have licenses in AVAILABLE status, you must increase the number of licenses to match the number of Provider User accounts you are adding. This may be done from the Create User page or from the License Manager page.

· If you are deleting a Provider User account, you may request that the number of licenses be decreased so you are not paying for a User account that it not being used by emailing support@hybridchart.com or calling 877-977-5544 ext. 3. Alternatively, you may leave the license in AVAILABLE status if you will be adding a User account to replace the one leaving.


License Management


1. If you wish to add a license from the License Manager, click the + sign in the License Manager tool to increase the number of licenses. The tool will display the total number of licenses you are adding.


2. When your selections are complete, click ADD NEW LICENSES. Licenses are available for immediate use. This tool also notifies the HybridChart Support and Accounting teams. NOTE: You may receive follow-up communication to ensure that billing for your Practice is updated appropriately.


3. Read the pop-up and click YES, I AGREE. For concerns or questions, or if you need to cancel the additional licenses, please email support@hybridchart.com or call 877-977-5544 ext. 3. NOTE: If you wish to cancel the additional licenses, you must do so within 2 business days or your account will be charged. Once your account is charged, no refunds will be available.
